Please read this policy carefully before making a booking. Cancellations are subject to specific conditions and timelines.
IMPORTANT: Refund Eligibility Criteria
Refunds are ONLY available if you have NOT received the appointment slip. Once the appointment slip is delivered to you, our service is considered complete and NO REFUND will be provided.
1. Refund Eligibility - Before Appointment Delivery
Refunds are ONLY processed if you request cancellation BEFORE receiving the appointment slip. Once delivered, no refunds are possible as our service is complete.
Within 1 Day of Booking (Before Appointment Delivery)
Full refund of service fee (₹1,500) minus processing charges of ₹200.
Refund Amount: ₹1,300
Valid only if appointment slip has NOT been delivered
After Appointment Delivery
NO REFUND AVAILABLE. Once we deliver your appointment slip, our work is complete. The service fee is non-refundable after delivery.
Refund Amount: ₹0
After Attending the Appointment
NO REFUND AVAILABLE. Once you have attended the medical appointment, no refund can be processed under any circumstances.

2. How to Cancel
To cancel your appointment:
- Visit our website and click on "Cancel Appointment"
- Fill in your details (Email, Passport Number, Phone)
- Submit the cancellation request
- You will receive a confirmation email within 24 hours
- Alternatively, you can call us at +91 9922102690 or email gsupport@gamcaappointments.com
3. Refund Processing
Once your cancellation is approved:
- Refund will be initiated within 5-7 business days
- Refunds will be credited to the original payment method
- Bank processing may take an additional 5-10 business days
- You will receive an email notification once the refund is processed
4. Non-Refundable Situations
Refunds will NOT be provided in the following cases:
- After appointment slip has been delivered to you
- After you have attended the medical appointment
- No-show or failure to attend the appointment
- Cancellation after receiving the appointment slip
- Medical examination failure or rejection
- Changes in visa policies or government regulations
- Personal circumstances preventing attendance
- After our service is successfully completed (appointment slip delivered)
5. Medical Center Unavailability
If your preferred medical center is not available:
- You must choose an alternate available medical center in the same city
- We will assist you in selecting the best available option
- No refund will be provided due to medical center unavailability
- You must proceed with an available medical center to complete the booking
- If no medical centers are available in your city, we will work with you to find alternatives
6. Rescheduling
Rescheduling is only available BEFORE the appointment slip is delivered:
- One free rescheduling is allowed if requested before appointment delivery
- Rescheduling after appointment delivery may incur additional charges
- Contact us immediately at +91 9922102690 to reschedule
- Once you attend the appointment, no rescheduling or refund is possible
7. Medical Center Cancellations
If the medical center cancels your appointment due to their own reasons (before you attend), you will receive a full refund of the service fee or can reschedule at no additional cost. However, once the appointment slip is delivered and you have the confirmed date, our service obligation is complete.
8. Force Majeure
In case of unforeseen circumstances beyond our control (natural disasters, pandemics, government orders, etc.), we will work with you to reschedule your appointment. Refund eligibility will be assessed on a case-by-case basis.
9. Dispute Resolution
If you have any concerns regarding cancellations or refunds:
- Contact our support team immediately
- We will review your case within 3-5 business days
- All decisions will be communicated via email
- Final decisions rest with EZ Gulf Appointments management
